What we collect and why

We collect buyer names, contact and residential details, property and settlement-agent details, payment method, proof-of-funds or finance-eligibility information, and copies of each buyer's passport and driver licence. We use this information to assess the proposed purchase, confirm the identity details supplied, prepare accurate contract information, prevent fraud and refer the matter to the appointed compliance officer.

This portal does not itself perform AML/CTF customer due diligence. The appointed compliance officer separately conducts any AML/CTF verification, assessment and decision under their approved process.

Delivery and access

The completed submission is delivered to the designated sales representative computer. Dropbox is used solely as a secure delivery conduit and is not the working record repository. Access is restricted to the service account and designated recipient required to complete delivery. Service providers: Sydney-hosted VPS infrastructure, Microsoft 365 for invitation delivery, and Dropbox solely as a secure delivery conduit to the designated sales representative computer.

Overseas disclosure or handling: Dropbox and Microsoft may process information outside Australia under their service terms; access remains restricted to authorised users..

Security and retention

Uploads are protected in transit, scanned for malware, encrypted before persistent transfer, and subject to access controls and audit logging. The encrypted VPS transfer copy is deleted after confirmed delivery. Dropbox is used only as a secure delivery conduit to the designated sales representative computer; the Dropbox copy is manually deleted after the details are entered for contract preparation and is subject to a maximum 14-day fallback deletion period. Invitation metadata is retained for no more than 14 days after use or expiry.

Access, correction and complaints

You may ask to access or correct your personal information, withdraw consent where consent is the applicable basis, or complain about our handling by contacting steve@wegotland.com.au. We will acknowledge and investigate complaints and explain available escalation options, including the Office of the Australian Information Commissioner where applicable.

Data breaches

We maintain a response process for suspected breaches and will notify affected individuals and the OAIC when required by the Notifiable Data Breaches scheme.
